Documents you need for government job applications
Last reviewed 05 Oct 2026 · by the RingMyJob team
Many good candidates lose a selection at the document verification stage, not in the exam. A missing certificate, a name spelt differently or a certificate dated after the cut-off can all cost you the job. Getting your papers in order before you apply avoids most of these problems.
Documents almost every recruitment asks for
- Class 10 certificate: usually the proof of your date of birth.
- Educational certificates and mark sheets for every qualification you claim (Class 12, diploma, degree), including the final degree or provisional certificate.
- Photo identity proof, such as Aadhaar, PAN, voter ID, passport or driving licence. Use the same one in the form and at the exam centre.
- Recent passport-size photograph and signature, scanned in the size and format the notice asks for.
Documents needed only in some cases
- Caste certificate (SC, ST or OBC) if you apply in a reserved category. Central government jobs ask for the central government format. OBC candidates usually also need a non-creamy layer certificate that is valid for the period stated in the notice.
- EWS certificate (income and asset certificate) if you apply in the economically weaker sections category, valid for the financial year the notice states.
- Disability certificate if you apply as a person with benchmark disability.
- Domicile or residence certificate for many state government jobs.
- Ex-servicemen papers, such as the discharge certificate, if you claim that quota.
- Experience certificates where the post needs work experience, showing dates and the work done.
- No objection certificate from your employer if you already work in government or a PSU.
Tips that save trouble later
- Check that your name, your father's or mother's name and your date of birth are the same on every document. If they differ, get them corrected or keep an affidavit or gazette notification ready.
- Check the date on category certificates. Many notices require them to be issued on or before the closing date.
- Keep clear scans in one folder on your phone or computer, and a set of self-attested photocopies at home.
- Fill in the form exactly as your certificates read. A mismatch between form and certificate is a common reason for rejection.
The official notification always has the final list for that recruitment. Read our guide on how to read a job notification to find it quickly.
